Only Users defined as System Admins, or Full Users with the module Admin role, can access Main Form Definition. Click on the Cogwheel icon at the top of the screen in any opened record to access the Form Definition.
From the Advanced drop down menu select Form Notifications.
Optional: In the Form Notifications window select the Notification Template icon as pictured below.
Optional: Then click on the “+” icon on the next opened window to create a new Form Notification Template.
Optional: In the Form Notification Template window you can give the Template a name, description and select a Format Type of either Plain Text or HTML text. You will still have the quick options to double click on the Title/Field Name options and have them added to body of the notification.
Click the Floppy Disk icon at the top of the window to save and close the window to add it.
Click on the “+” in the Form Notifications window to begin building a Form Notification. You can give the Notification a Description. The Subject field here will be the Subject in the Notification email.
Note: If you select a previously created Template from the drop down menu the email message will populate with the associated text.
If you want the Notification to occur on a Condition being met in a form’s particular field then you will need to toggle the No Condition box and Disable Notification box off.
If No Condition is set to True, then the notification will be sent when a record is created.
If you do want the notification to be triggered by a condition you will then have to define the condition. You will click the “+” icon to create a field that is being referenced and then enter a condition for that field to be triggered.
Below I have created the Condition of if the Email Address field has a value in it, the Form Notification will be triggered.
You will now need to save and close the Builder window and then re-open it to have access to the “Send To” tab.
From here we can select if we want to Send The notification to an email or have it sent to an address entered in the Form.
In this First example a notification will be sent to the value in Primary Contact field when the record has a value in the Email Address field that is not empty.
In this next example a notification will be sent to the email(s) defined in this list whenever a record of the type you are editing is created.
Save the notification in the Builder window and close the window.
Note: It is best practice to always Save the Main Form Configuration after saving changes to ensure they are applied.
